At Party Pro Manager, we’re always looking for ways to make your event management smoother, faster, and more enjoyable. Earlier this year, we introduced some significant changes to our system that laid the foundation for more robust automations and clearer workflows. Now, we’re thrilled to announce a new wave of updates that take those improvements even further!

A Quick Recap of the Earlier Updates

Before we get into the shiny new features, let’s quickly revisit the key changes we made earlier this year:

  • Revised Event Statuses: We streamlined the statuses available for events, ensuring everything flows more logically.
  • Payment Schedules: You can now clearly define how payments will be handled—whether it’s split payments, full payment upfront, or a free event.
  • Validation: We’ve added checks to ensure event statuses align with the selected payment schedule, making sure all the details, like approvals and payment records, are in sync.

These changes have made event management more accurate, reliable, and transparent. But, as always, we’re listening to your feedback and looking to improve. That brings us to our latest enhancements…

1. Pricing Flexibility

We know not every event requires a detailed pricing structure. That’s why we’ve added an option to explicitly add pricing to each event—or skip it if needed. When you choose to skip pricing, you’ll provide a reason, which helps guide the system’s logic and automations, keeping everything clear and organized.

And when you do choose to add pricing, you’ll love how easy it is. With a single click, the system instantly loads all pricing fields—including base price, supplements, tax, and deposit—according to the selected package and package options. No need to manually input each field—the system does it for you!

2. Event Status Change Wizard 🧙‍♂️

Say hello to the Event Status Change Wizard! This new tool assists you in changing the status of your events with ease. Thanks to our new status flow algorithm, the system can now figure out what additional changes are required to make the status change and even apply them automatically—with your approval, of course. We call these ‘auto-changes’.

But wait, there’s more! In some cases, the wizard will also suggest additional actions that, while not required, make logical sense and could save you time.

  • Benefits:
    • Faster manual status changes with just a couple of clicks
    • Logical suggestions for smoother event management
    • Continued reliable automations for events following client approval and payment

Why These Changes? 🤔

The initial changes we made earlier this year were essential steps in preparing for more advanced automations and improving clarity across the board. The feedback was overwhelmingly positive (thank you!), but we also heard from some of you that certain tasks had become a bit more complex in certain scenarios.

Here’s what we found:

  • Some users, particularly those who don’t use the integrated payment options (or don’t bill through Party Pro Manager at all), found that the updates made their processes less straightforward.
  • We knew we needed to cater to these users, while also ensuring the system worked smoothly for everyone else.

These new updates are designed to help those users, whether they bill outside of Party Pro Manager, only occasionally use our payment options, or are new to the system and managing existing events. 

The End Result

With these changes, you now get all the benefits of our earlier updates—accurate reporting, reliable automations, and enhanced clarity—with even more flexibility:

  • Manual status changes are now easier and quicker.
  • Automated changes continue to work seamlessly when clients approve and pay.
  • Flexible workflow for those who prefer to update event details first and let the status auto-update.
